Photography Terms


Bookings & Quotes

An enquiry or discussion does not by itself secure a booking.

Before any work begins, I will confirm the agreed brief, date and time, location, expected deliverables and price in writing.

A booking is confirmed once you have accepted the quote or booking details and, where a booking payment is required, that payment has been received.

If the brief, hours, location or deliverables change significantly after the booking is agreed, the price may need to be revised. Any additional cost will be discussed and agreed with you before the extra work is carried out.


Deposits & Payment

A booking payment may be required to confirm your photography date. The amount will be clearly stated in your quote or booking details and will form part of the total price.

Any remaining balance and the date it is due will also be confirmed in writing before the booking.

Payments should be made using the method shown on the invoice or booking confirmation.

If additional work, extra time or additional deliverables are requested after the original booking is agreed, any extra cost will be discussed and agreed with you before that work is carried out.

Any refunds will be handled in accordance with the Cancellations & Rescheduling section of these Photography Terms.


Cancellations & Rescheduling

If you need to cancel or reschedule a booking, please let me know as soon as possible.

If you cancel 7 days or more before the agreed photography date, any payment you have made will be refunded in full.

If you cancel less than 7 days before the photography date, I may retain a reasonable amount to cover work already carried out or losses directly caused by the cancellation. Any remaining balance will be refunded.

If you would prefer to reschedule rather than cancel, I will do my best to move the booking to another suitable date.

If I need to cancel because of illness, emergency or another serious circumstance, I will offer another suitable date where possible. If that is not suitable, you will receive a full refund for any work not provided.

Nothing in these terms affects your statutory rights.


What I’ll Deliver

The photographs and other deliverables included in your booking will be agreed with you before the work takes place.

Unless agreed otherwise, you will receive a carefully selected and edited collection of finished digital photographs.

The number of photographs may vary depending on the type and length of the shoot, and I will use my professional judgement when selecting the final images.

Unedited or RAW files are not normally supplied unless this has been specifically agreed in advance.

Any additional items, such as prints, albums, extended editing or other finished work, will be clearly included in the agreed quote or charged separately if requested later.


Turnaround & Delivery

The expected turnaround time will be discussed with you before the booking and confirmed as part of the agreed details.

Unless agreed otherwise, finished digital photographs will be delivered electronically using a download link or online gallery.

I will always aim to deliver within the agreed timeframe. If an unexpected delay occurs, I will let you know as soon as reasonably possible and provide an updated delivery estimate.

Once your photographs have been delivered, please download and keep your own backup copies. I cannot guarantee that online galleries or stored files will remain available indefinitely.

Any prints or other physical items will have their own estimated production and delivery times, which will be explained when ordered.


Copyright & Image Use

Unless otherwise agreed in writing, I retain the copyright in all photographs I create.

You will receive permission to use the finished photographs for the purposes agreed as part of your booking. The exact usage will depend on the type of photography and will be confirmed where necessary.

For personal photography, such as portraits or private events, the photographs may be used for your own personal use, including sharing with friends and family and on your personal social media.

For business, commercial or commissioned work, the permitted use of the photographs will be agreed as part of the quote or booking. Any substantially different or additional commercial use may require further permission or a separate licence.

Copyright is not transferred to the client unless this is specifically agreed in writing.

Photographs must not be sold, licensed to another party or substantially altered for commercial use without my permission.


Client Use of Photographs

You are welcome to use the finished photographs in the way agreed for your booking.

For personal photography, you may download, print and share the photographs for your own personal use, including on personal social media.

For business or commissioned photography, you may use the photographs for the agreed business purposes, such as your website, social media, marketing or promotional materials, where these uses are included in the booking.

Please do not sell, licence or pass the photographs to another business or organisation for their commercial use without discussing this with me first.

Reasonable cropping or resizing is fine, but photographs should not be substantially altered or edited in a way that changes the character of the original image without my permission.


My Use of Photographs / Portfolio

I may wish to use selected photographs from a booking to show examples of my work, including on my website, portfolio, social media, exhibitions or promotional materials.

For private or personal photography, I will ask for your permission before making photographs publicly available.

For business, event or commissioned work, any intended portfolio or promotional use will be discussed where appropriate as part of the booking.

If you would prefer your photographs not to be used publicly, please let me know and I will respect that.

Extra care will always be taken with photographs involving children, private events or sensitive circumstances.


Events, Venues & Permissions

The client is responsible for making sure that photography is permitted at the venue or location and for obtaining any necessary permissions before the booking.

Some venues may have their own rules about photography, access, lighting, equipment or where a photographer can work. I will follow reasonable venue requirements where they are made known to me.

For events, I will photograph in a natural and respectful way, but I cannot guarantee that every guest or every moment will be photographed.

Where individual consent or specific permissions are required, particularly for private venues, restricted locations or sensitive situations, this should be discussed with me before the event.

If photography is limited or prevented because the required permission has not been obtained, I cannot be responsible for photographs that could not reasonably be taken.


Weather, Illness & Things Outside Our Control

Some photography, particularly outdoor work, depends on suitable weather and conditions.

If poor weather is likely to make the photography impractical, unsafe or significantly affect what we have agreed to create, we can discuss rescheduling to another suitable date.

If illness, an emergency, travel disruption, venue closure or another circumstance outside either of our reasonable control prevents the photography from going ahead, I will work with you to find a suitable alternative date.

If I am unable to carry out the booking and rescheduling is not suitable, any payment for work that has not been provided will be refunded.

I cannot be responsible for circumstances outside my reasonable control, but I will always make reasonable efforts to minimise disruption and keep you informed.


Liability

I will take reasonable care when carrying out the photography and handling your photographs.

I cannot guarantee that every requested photograph, person or moment will be captured, particularly at live events or in circumstances outside my reasonable control.

I will not be responsible for losses caused by circumstances outside my reasonable control, including restrictions imposed by venues, guests, weather, equipment failure despite reasonable precautions, or other unexpected events.

If a technical problem results in photographs being lost or damaged, I will discuss the available options with you and, where appropriate, refund the amount paid for the affected photography.

Nothing in these terms limits any rights you have under UK consumer law or excludes liability where it would be unlawful to do so.


Agreement to These Terms

By confirming a booking, accepting a quote or making the required booking payment, you confirm that you have read and accepted these Photography Terms.

The details agreed for your individual booking — including the brief, date, location, price, deliverables and any specific image-use arrangements — will form part of our agreement.

If anything agreed specifically for your booking differs from these general terms, the specific written agreement for that booking will take priority.

Nothing in these terms affects your statutory rights.
